To clarify:
• On Wednesday 8/25, all residents were notified of a change in property management beginning in September.
• On Friday 9/3, we received a check from your bank, which we deposited with the intent of transferring balances to the new management company. To be clear, we do not have any ability to take money from your account, as you have suggested we did, we simply deposited the check that you sent us through your bank.
• Our first notification from you came on Saturday 9/4 of Labor Day weekend in the form of a text message, and we immediately responded and informed you that we would refund your payment first thing Tuesday morning when the banks re-opened. We had the refund check ready for you at 8:17am Tuesday morning.
• On Monday 9/13, you notified us that the refund check had been returned by your bank. This was due to circumstances beyond our control (see below), therefore, we immediately hand-delivered a replacement check as well as money to cover all bank fees associated with the transaction as well as additional funds out of the property manager's own pocket for your inconvenience.
As we discussed in person, we should have more explicitly provided instruction that payments submitted to the previous management company would be transferred to the new management company upon the sale of the property. Alternatively, you could have called any time or canceled your original bill-pay check in the week and a half between the notification of the change in management and us depositing your check. The refund check was returned because the previous property owner mistakenly closed that account without providing us (the property manager) notice. We agree that should have never happened and we did everything we could to rectify the issue immediately. Despite our efforts, including a face-to-face conversation during which you were agreeable, you proceeded to write multiple negative reviews (with inaccurate information) on several different online platforms. As we have said, we regret this situation occurred, but stand by the fact that we handled it properly and efficiently. We take pride in our level of service for all our clients. On Monday 9/13, you notified us that the refund check had been returned by your bank. I called and this company wrote out multiple bad checks during this time. THEY KNEW THE CHECKS WERE BAD AND DID NOTHING TO COMMUNCATE THAT BEFORE I CALLED. ( i have the recording and can post if needed)
