In Sept 2024, my fiancée & I booked The Station venue for our wedding on Nov 15th, 16th, & 17th, 2024. We disclosed a guest count of 100 & relied on their website & communication to assess capacity. The venue claimed to accommodate 90-100 people in the solarium & a max of 150 across the facility. Due to time constraints & pressure to secure the date with a non-refundable $**** deposit before a tour, we relied heavily on this info.

We repeatedly requested a tour before signing but faced delays & unclear scheduling, creating the perception that the contract was binding & inflexible. This urgency & substantial deposit requirement gave the impression of strict timing & left us feeling pressured.

When we toured, we found several logistical issues not fully apparent from blueprints or descriptions. The bar in the hall takes up significant space, making it impossible to fit 100 guests without crowding. Their proposed “room transitions” solution would require guests to stand for over an hour while the solarium is reset causing discomfort & impracticality. There is also no clear solution for dancing, as space in the hall is too tight, & reconfiguring the solarium again poses further challenges.

Despite raising these concerns, The Station maintained that transitions & guest crowding were feasible. Their photos, which did not clearly show the hall, contributed to our misunderstanding of the space’s usability. Misleading & incomplete representations led us to believe the venue could meet our needs.

Catering advised that space limitations make hosting 100 guests infeasible without major disruption. We respectfully requested a full/partial refund due to these misrepresentations but were denied. Given misleading capacity representations, rushed booking, & impractical logistics, we seeked mediation or resolution, including a possible refund.

    Business Response

There isn't much more to be said as we have provided all solutions in our communication (attached, highlighted in Yellow) and a copy of your signature of agreement on our contract.

It is very unfortunate that this was submitted to the BBB. As a small business we do everything we can to best accommodate and provide logistics, solutions and information to ensure a smooth event and understanding, as indicated in the attached communication. However, we cannot accommodate blatant breach of contract. We had turned away business as a result of your booking so we ended up losing business as a result.

After providing a multitude of solutions to all concerns presented as well as many kind and patient responses filled with re-assurance on the capabilities of our facility, we do not see fault or misleading information was given on our end. We host 150 person events most weekends in our high season (April-Nov) and this is the first issue we have had in regards to "mis-representation" of our facility or not being able to accommodate at all. 150 is our fire regulated capacity.

As mentioned in our previous emails, and contract you signed, we are unable to provide a refund of your non-refundable deposit.

Wishing you all the best in your future and a lifetime of happiness.
