This business called our office every business day asking for Dr. ***** **** so they can request records. Myself and my two co-workers have told them for months that that provider is not at our institution. We have checked the patient also multiple times and told them the patient isn't here either, but they continue to call every business day. I have asked to speak to their supervisor or manager and been told either A. They don't have one, or B. They put me on hold and come back and tell me they aren't available. It is always the same man and woman that call and I've been told multiple times they would correct the information, but then they call the same day.Business Response

I am a Md state government employees trying to get patient records. I called Datavant 8/21 to ck on records request submitted by ***************** 8/7. The ** didnt recognized the patient info and wouldnt transfer me to a live *** and hung up on me. After 2 more calls I finally spoke to someone who stated they had no request on file. I called the ********* back and they advise they would resend the request and **** expedite since it had already been over two weeks. I called this morning to ck the status and again the robot ** didnt recognized the patient info and wouldnt transfer me to a live *** and hung up on me. I then called and selected a different option-the live person refused to transfer me to a live person and transferred me to the **. Again could not get thru to live person and the ** AG**N hung up on **** called back and kept saying operator and ***resentative For 3 hrs I was on hold various times once over 41 minutes which is unacceptable.Such poor customer service.Business Response

This company is horrible and extremely unprofessional. We had an Order from the Judge to obtain medical records on behalf of our client. Our law firm placed a records request for two separate clients, identical HIPAA forms (outside of their personal information). We successfully received one client's medical records without issue a week prior to this specific request. The court-ordered client, however, we submitted to Datavant. Datavant declined the request because a cover letter was not included. I submitted a cover letter with the attorney/law firm's information for the records to be sent. They declined the request again, alleging that the ***** form does not have our law firm name on it, only the attorney's name. I spoke with a supervisor and had him compare both client's HIPAA forms and asked why they allowed one request to go through, but not the other. He resubmitted my request; they denied it stating "not enough information." I redid the request 5 times and submitted it to Datavant. The 5th attempt they alleged that the client doesn't have records from the location we are seeking, although we have physical proof from officers and nurses showing he did have a visit on the date in question. I called every other day for two months and each time it was a new excuse of why Datavant could not process our request. Nothing was different or changed from the last client we used/requested records for a week prior. I find it unprofessional to give a lawyer made up reasons of denials, especially when the request comes at the hands of a sitting Judge. The fact that a supervisor, *** was his name, could not help or resolve the issue, only further shows that they do not care about their jobs and duty to the people. Individuals have rights to their medical records. I was never given a real, legitimate answer of why all 5 attempts were denied when we did it correctly. Datavant has poor service and even more poor customer service. It's unacceptable.Business Response

My FMLA paperwork needs to be completed so that my company will pay me during medical leave. I submitted the credentials on 7/10/25 and it is now 7/25/25. Datavant is contacted with Northern Light Health to provide medical records and bills on 06/04/25 a request was submitted requesting records and bills using Northern Light Health's own HIPAA authorization .on 06/10/25 Datavant rejected the request stating a HIPAA compliant authorization was needed .Datavant was contacted and a "rescan" request was made since the authorization was in fact HIPAA compliant .On 06/24/25 Datavant was contacted - *** in customer service advised there was an internal note 06/16/25 that their "field **** could not provide redacted records .Datavant is either lazy or making a money grab by requiring that ALL medical records need to be authorized instead of providing the information requested as they charge by the page. I received an invoice for $20.00, a charge that indicates Ciox did not find any medical records.When a client tells us that they have seen any doctor, we believe them, especially when they present dates and/or provide a document from the physician's officefor any date of service. Upon receipt of the invoice, we called the physician's office who provided us with 58 PAGES of medical records. I spent an hour ofhold time trying to Ciox and spent time speaking with the physician's office to get these records. My time, as well as the physician personnel, is worth something and it is greater than the $20.00 invoice that you expect me to pay.I was advised that the "invoice could not be voided and must be paid". Advised I will not pay and per rep **** would continue to bill until paid. Representatives need to do their job.. Do representatives get paid regardless of how *** they are at their job performance? The charges are passed on to our clients and we refuse to burden them with charges that are bogus. This is a continual problem with ****. I am doing what your representatives will not or cannot do. I am writing to request help in locating my medical records within Datavants repositories. I contacted Datavant in 2024 requesting to see if my medical records were in their repositories from past medical releases. I was told by their privacy officer that I would have to contact my medical provider for the information. I have not been able to get a complete accounting of disclosures of my medical record releases that have occurred through business associates at *** in ********. *** does not seem to know how to do an accounting of disclosures and just keeps sending me a log from their old system that is different from the one I have been provided in the past. The ***** Health privacy office has stopped responding to my requests and I have been referred to the Health Information Manager at *** in ******* who has also not been able to provide me with an actual accounting of where my medical records have been released to in the past. I have also not been able to get my medical records from ***, despite knowing that they were released by *** in 2014. Please refer me to someone at Datavant who can search for my medical records in Datavant repositories and help me with an accounting of the record releases because DMC Does not appear to be capable of giving me either. I am rejecting this response because: It was never explained to me whether or not my medical information is even in Datavant's repositories. I am trying to find out where my medical information is siloed, so that I may determine how it was breached. *** does not know where they have shared any of my information beyond the last 6 six years allowable through an accounting of disclosures. Please refer to someone who can determine if I am even in Datavant's system. Thank you.

Datavant/Ciox follows all HIPAA guidelines and all statutes in each state pertaining to the release of Health Information. Some Health systems centralize their billing records for multiple medical facilities causing separate invoices for the records. The medical records are located at the medical facility but the billing records may be located at a separate location. Thank youCustomer Answer

I am rejecting this response because: they use a portal for attorneys to request client's bills and records. You are given the option to choose multiple things such as records, bills, radiology, etc. on one request but then are billed separately. That is misleading. They need to overhaul their portal if is the case. If you are going to have to get them from separate facilities, then they need to clarify that.

A request for records was received and replied to on 1/24/25; we received correspondence a month later for the same charts. This is the SECOND time they cannot find the charts and last time one of them had the nerve to call my office and get rude with my staff. Now you have THE OWNER, and when you call, make sure you ask for ***** *******. We will be sending bills for re-work moving forward. If you do not know how to use a fax machine or be organized, call your boss, Highmark, and let them know because my office will not be doing re-work based on this company's inability to complete a task. I received an invoice for ****** for medical records when it should have been free because they were going to me. This was misbilled. My attorney requested it for me but the records were going to me. I've reviewed the complaint and found that the attorney submitted a request for records to be sent directly to them. The charge to fulfill the request was accurate per the Maryland statute ***. Code of Md. 4-304(c). The attorney requested the records and is therefore is responsible for invoice 485816496. The patient reached out to our customer service department concerning the invoice and was informed of this. Per Maryland statute the patient can request their records and receive them at no charge.
