7. Controls the progression of engagements, making sure the project is prepared correctly, within budget and on time. What we're looking for: Client Relationship Specialist

Location: On-site (Tyler)

As a Client Relationship Specialist, you will be facilitating relationships with Income Solutions most valuable clients.  The Client Relationship Specialist will serve as the front line of a fast-paced office environment and partners with the Wealth Management Advisory Team and Senior Client Relationship Specialist in delivering the highest level of service and support to clients and prospects. This role operationally leads the advisory team to effectively resolve a wide range of client needs and provide exceptional service and a positive client experience. We offer a competitive compensation package with additional discretionary bonus potential. SEP IRA will be available after 3 years. During your initial period of employment, you will receive in-depth training for all specific daily administrative tasks required, including additional complex service items.  This will serve as a 3-month trial and training period in which the role will be paid on an hourly basis at $17/hr.  After the training/trial period has concluded, the position will be paid at an increased rate of $18.50/hr.  

Qualifications:

•       1-3 years administrative experience preferred. Financial services background with emphasis in investment brokerage is a plus.

•       Strong PC skills and high proficiency in Microsoft Office (Excel, PowerPoint, Word) required

•       Strong time management skills coupled with the ability to efficiently prioritize

•       The candidate must have high attention to detail, work independently, and have strong decisionmaking skills. Strong problem-solving skills are a must.

•       Ability to manage multiple projects concurrently and work under pressure

•      Strong verbal and written communication skills

•       Proactive and dedicated work ethic.

•       Strong administrative skills, organizational skills, with the ability to work in a fast-paced environment.

•       Excellent team player, interpersonal skills, ability to work with diverse personalities while maintaining a professional demeanor.

•       Dependable and able to work overtime as needed (very limited).

•       Ability to manage multiple client situations, needs and inquiries simultaneously •         Basic math skills

Responsibilities:

•       Answering phone and screening calls.  Uncovering and identifying client needs and routing calls accordingly

•       Greeting clients, prospects and guests and directing office traffic

•       Becoming acquainted with clients and prospects

•       Scheduling and confirming client appointments including text or call appointment reminders and maintaining the calendar

•       Scheduling advisor out-of-town appointments

•       Various document filing and scanning

•       Preparing client and prospect mailouts including bulk mailouts/letters/postcards

•       Preparing marketing kits for mailouts

•       Maintaining compliance files and required logs up to date

•       Purging and archiving closed/outdated files

•       Preparing for client events

•       Ordering and stocking office supplies

•       Managing client birthday system including ordering gifts/birthday postcard mailouts

•       Scheduling and organizing vendor meetings and luncheons

•       Creating and maintaining miscellaneous spreadsheet reports as needed

•       Maintaining updated compliance office and software policies and staying abreast of new SEC industry regulations affecting brokers and administrators.

•       Sorts and distributes mail

•       Runs errands as needed

•       Provides assistance for special projects in all departments

•       Coordinating with outside vendors for various account service and processing needs.

Complex Service Responsibilities:

•       Account and trade notifications research and resolutions

•       Money movements, fee write-offs, account journals, check deposits

•       Opening accounts, submitting account documents, follow-up, and maintenance, working with dedicated back-office support to troubleshoot and resolve client account issues.

•       Prepare office for internal compliance audits

•       Managing/maintaining CRM and coordinating between multiple systems

•       Submitting accounting statements, payroll, and additional reporting

•       Maintaining appropriate logs for compliance files

•       Miscellaneous account claims processing and follow-up

•       Maintaining monthly expense reports

•       Submitting monthly correspondence files to compliance department and maintaining correspondence file.

•       Physical Requirements: Sedentary Work

•       Normal work hours are Monday – Friday, 8:00 am – 5:00 pm with an hour for lunch. • Occasional overtime required (very limited)
