    Dear Better Business Bureau,I am writing to file a formal complaint against HHSG *************************** regarding their failure to fulfill contractual obligations in a timely manner and their inadequate response to critical issues affecting residents.Firstly, HHSG has failed to provide financial statements for the months of December 2023 and January 2024 as outlined in our contract. This lack of transparency raises concerns about the management of our community's finances and creates uncertainty among residents.Furthermore, there have been numerous instances where residents, including myself, have experienced water damage or leaks in our homes and have received no response from HHSG despite multiple attempts to contact them via email, phone calls/voicemails, and letters by mail. Shockingly, residents have been met with dismissive remarks such as "we don't work on the weekends," demonstrating a lack of urgency and professionalism in addressing serious property issues.Additionally, HHSG has wrongly accused residents of failing to make timely payments despite payments being made through their online portal or via mailed checks well within the specified timeframe. These baseless accusations not only damage the reputation of residents but also indicate incompetence in managing payment records.As a resident of ********************* I am deeply disappointed by HHSG's disregard for their contractual obligations and their negligent handling of residents' concerns. I urge the Better Business Bureau to investigate these issues promptly and take appropriate action to ensure that HHSG upholds their responsibilities and provides residents with the quality service they deserve.Furthermore, it is imperative to note that residents are actively exploring alternatives to HHSG and seeking a property management company that demonstrates accountability, responsiveness, and integrity in their operations.Thank you for you time and consideration in this matter!

    Heil, Heil, Smart and Golee, LLC hires inexperienced employees and does not train them. The property manager, ***********************************, managed 3 associations within Baybrook. Upon a single association finding service too slow, they switched to a different property management company. The transfer of financial records showed illegal activity which has resulted in multiple lawsuits. For example, ***** "accepted" bonuses without board approval. ***** "paid" for an audit, but it was never run.I live in an association that is still with HHSG. I requested financial records to see if our association was having the same issues. (My request comes when some lawsuits were won and others are in progress) ***** has not provided financial records when all funding, named documents, and reasons were provided. Multiple reminders were sent in email. ******** law backs getting records. It is beginning to look like I will need to start a lawsuit to acquire the documents. Is the delay to "doctor" them and avoid more lawsuits?Peter's email was the only email provided so I reached out to the president, AS, to share the experience. Al declined discussion and said, "All emails can go to ..... I will get it. Thanks for providing feedback."***** also will pay board members when nothing in the bylaws makes this legal.***** is also not reliable or timely in resident requests such as architectural change requests being forwarded to the board. The company doesn't have a ticket system to track if requests are being managed.He IS timely with board member requests.

    After several employees were consulted regarding the review, our response is as follows:To our knowledge there have been no lawsuits, filed against HHSG LLC nor has there been any illegal activity by HHSG LLC or its employees. We will address each accusation in the following paragraphs.1)Slow response times.There were at least two meetings where this issue was addressed. It was determined that the Board had the necessary information to make decisions but failed to do so in a timely fashion. There was clearly infighting amongst the Board members during these meetings, HHSG was a scapegoat for their lack of ability to resolve their internal issues. 2)Illegal Bonus:A holiday bonus was directed via email by the Treasurer to be paid to the maintenance company and to an HHSG employee. This bonus was consistent with bonuses paid the previous year so there was no reason to question the validity of the task since it was being directed by an officer of the of Association. Once the legitimacy of the bonus was called into question by Baybrook Ds attorney the bonuses were returned. 3)Audit paid for but not conducted.The 2020 tax return and audit were paid for on one invoice. The Tax return was completed. The audit was conducted but an issue was found with the laundry income as it was reported by the laundry company. The auditor cannot complete the audit without the necessary information from the vendor. The vendor is working to rectify their reporting. Once the vendor reports the correct information, they will complete the audit.4)Request for documents.Below is the timeline of the requests. There were multiple requests, each one changing the information requested as well as ******** being unclear as to the level of detail required. Each request required multiple clarifications from ********. She did reach out to me via my private Linkedin account to have a discussion ref our service. I told her to contact us via ************* a.24 April ******** request received for Financial Statements, Contracts other agreements and Board Meeting minutes.b.26 April (HHSG) replies with the statement that we can provide the requested documents for a fee.c.26 April ******** requests the cost of the ************ April (HHSG) replies that the fee is $45 per hour and requests clarification of the request (no reply).e.28 April (HHSG) follows up with Cullen to see if we should proceed with her request (no reply).f.29 April (HHSG) again requests a response from Cullen if we should proceed with the gathering the information requested.g.29 April ******** replies and cancels the request for information.h.20 May ******** sends in a new request for information that differs from the original request.i.6 June (HHSG) provides a partial answer to the 20 May request (landscape contract) and asks for approval to proceed with the other items that require considerable work to obtain. HHSG states the fee is $45 per hour.j.14 June ******** responds with a request for different documents then previously requested and approves the $45 per hour charge.k. 7 July (HHSG) provides all the financial information requested for the past 3 years plus information from the previous management company.l.11 July ******** files a BBB report stating she didnt receive any of the requested information.m.12 July (BBB) reports to (HHSG) there is a complaint filed by ********n.15 July (HHSG) resends the information provided on 7 July plus additional information.o.15 July ******** acknowledged receipt of information but claims audits were not included and a detailed expense report was not present. Audits for 2018 and 2019 were in fact included. All expense line items were included as well. p.16 July based on the information previously provided on the 7th and the 15th ******** modifies her requests for more detailed expense information displaying all fields and makes the accusation that data has been altered by HHSG.q.16 July (HHSG) requests clarification of the new request for information.r.16 July (HHSG) suggests ******** come into the office to see all the raw data on all transactions.s.17 July ******** replies that electronic information is requested and again attempts to clarify her request for all fieldst.18 July the accounting department ran a report with the information requested as we understood the ************ July report sent to ******** and she states its what she was looking for.5) Replying to Architectural change forms and work orders.HHSG keeps detailed records of all change forms and provides the information once a file is complete to the Board of directors for their review and approval. Partial requests are turned back to the owner until the forms and other necessary information is complete. We also track all work orders, and phone calls to HHSG and provide this information to the board monthly. Her request dated 14 Sept 21 was a partial request and she was provided the proper documents that same day. Once all the forms were provided the board met on or about the12th of November and approved her request.This review is unfounded and baseless. There have been no lawsuits and the board of directors at Baybrook C and the ****************** are happy with our performance. Many associations have audits done annually and never has there been any question of the process we have in place nor has there ever been a question of our integrity.
